It&#8217;s not just a new tool: it&#8217;s a <strong>paradigm shift <\/strong>that is reshaping how we search for information, how we work, and how we make decisions; we&#8217;re moving <strong>from knowledge management to a knowledge revolution.<\/strong> For years we have accumulated information: documents, protocols, information, data and experience. Often, the challenge is not having it, but <strong>finding it, understanding it, and using it when necessary.<\/strong><\/p>\n<p>AI introduces a very specific shift: moving from \u201csaving and filing&#8221; <strong>to activating the knowledge <\/strong>at the right moment. The value lies not in accumulating data, but in transforming it in <strong>useful knowledge <\/strong>for everyday life, in an accessible and contextual way.<\/p>\n<p><strong>When does AI add real value to everyday work?<\/strong> The real usefulness of AI appears in very specific situations, such as:<\/p>\n<ul>\n<li>Find information without navigating through dozens of folders or<\/li>\n<li>Receive answers tailored to the case, not just &#8220;a definition&#8221;.<\/li>\n<li>Summaries and explanations to understand complex situations.<\/li>\n<li>Write, synthesize, compare and prepare documents with further<\/li>\n<\/ul>\n<p>&nbsp;<\/p>\n<p>When these capabilities are seamlessly integrated into the workflow, the effect is multiplied. Knowledge circulates better, good practices extend and the decisions are taken with more consistency.<\/p>\n<p>Let&#8217;s be clear: <strong>AI does not replace people. It&#8217;s not about technology; it&#8217;s about people, roles, and responsibility. <\/strong>It lacks professional judgment, human experience, and empathy. And, above all, <strong>it cannot assume responsibility.<\/strong><\/p>\n<p>Therefore, when AI works well in an organization, something concrete happens: technology <strong>adapts to the roles and to the way of work of the people<\/strong>, not the other way around.<\/p>\n<p>In practice, this means accepting that answers may be incomplete or incorrect, and that human oversight is essential. Delegating the final decision to technology can create a false sense of security and, in the long run, erode internal judgment.<\/p>\n<p><strong>The transition will not be uniform but gradual, <\/strong>as some teams will advance quickly while others will fall behind if training and alignment are not worked on.<\/p>\n<p>What we will see is a <strong>progressive adoption<\/strong>:<\/p>\n<p><strong>2026: the &#8220;buddy desktop\u201d and the Proactive AI<\/strong><\/p>\n<ul>\n<li>AI is becoming a regular part of everyday life. It not only answers but also <strong>suggests and <\/strong><\/li>\n<li><strong>Proactivity is extended <\/strong>with error detection, recommendations, prioritization, and support. in the preparation of documents.<\/li>\n<li><strong>Integration into key systems <\/strong>such as document management, management of projects or ERPs that incorporate an AI layer that accompanies workflows.<\/li>\n<\/ul>\n<p>&nbsp;<\/p>\n<p><strong>2027-2028: the voice, the personalization and low risk decisions<\/strong><\/p>\n<ul>\n<li>The voice gains importance as a mechanism for execution and consultation, through <strong>dictation, conversation, and guided actions.<\/strong><\/li>\n<li><strong>More personalized AI with a professional <\/strong>Answers and formats adapted to the role, and more contextual memory.<\/li>\n<li>AI begins to make <strong>low-risk decisions,<\/strong> such as request routing, classification, prioritization, and preliminary validations, always with <strong>human supervision <\/strong>.<\/li>\n<\/ul>\n<p>&nbsp;<\/p>\n<p><strong>2029-2030: collaborative agents and the &#8220;AI invisible layer&#8221;<\/strong><\/p>\n<ul>\n<li>Appearance of agents capable of coordinating tasks between tools and teams, with <strong>greater automation and less friction <\/strong>between departments.<\/li>\n<li>Consolidation of an <strong>&#8220;invisible&#8221; AI layer <\/strong>in internal processes; AI ceases to be a visible functionality and becomes a <strong>funding infrastructure.<\/strong><\/li>\n<li>Increase of the risk of <strong>bias and over-dependence if there is not governance and clear criteria.<\/strong><\/li>\n<\/ul>\n<p>&nbsp;<\/p>\n<p>Incorporate AI without reviewing processes can create an illusion of modernization but not a real transformation. Three conditions must be met for the transition to generate real value:<\/p>\n<ul>\n<li><strong>Use cases with <\/strong>Integrate the AI into the flow of job, not as an extra tool.<\/li>\n<li><strong>Culture and <\/strong>Practical training and shared habits; <strong>human supervision <\/strong>is non-delegable.<\/li>\n<li>Protocols for use, quality control, security and prevention of biases.<\/li>\n<\/ul>\n<p>&nbsp;<\/p>\n<p>The AI open different scenarios depending on how we integrate it. The key question is not whether change will come or not, but <strong>how we want it to arrive <\/strong>and how we protect the human criteria in decision taking.<\/p>\n<p>Today, no one is late, and most organizations are still just getting started.
